    Who we are

    Aristotal is an AI-powered teacher coaching platform operated by AI Coaching Ltd, a company registered in England and Wales. Our registered address is First Floor Office, 3 Hornton Place, London, W8 4LZ.

    For data protection purposes, AI Coaching Ltd is the Data Controller for this website. For platform services, the School is the Data Controller and AI Coaching Ltd acts as Data Processor — except for Teacher Coaching Content, where Aristotal acts as an independent Controller to provide a confidential coaching service directly to teachers.

    What Aristotal is

    Aristotal is a confidential coaching tool. It analyses lesson recordings and provides personalised feedback visible only to the teacher who recorded the lesson. It is not a monitoring or performance management tool.

    What data we collect and why

    On this website

    When you visit aristotal.ai, we collect standard session data — IP address, device type, browser — solely to display the website correctly. If you contact us or sign up to our mailing list, we collect the information you voluntarily provide. We do not use this data for any other purpose.

    On the platform

    When a teacher uses Aristotal to record a lesson, the following data is processed: the audio recording, a text transcript generated from that audio, and the coaching conversation, reflections, and goals that follow. We refer to this collectively as Teacher Coaching Content.

    Student data is incidental. Typically this is first names and voices in a normal classroom context. No student records, surnames, or identifying information are collected or processed.

    How AI is used

    Aristotal uses commercial AI systems under enterprise contracts. These contracts explicitly prohibit the use of customer data to train public or general-purpose AI models. Aristotal does not allow lesson recordings or transcripts to be used to train OpenAI, Anthropic, Google, or any other foundation model.

    Voice data and biometrics

    Aristotal does not use voice recognition or voiceprints. Audio is processed only to generate a text transcript for coaching analysis. No biometric identification or authentication is performed.

    Who can see your data

    By default, only the teacher who recorded the lesson can see their recording, transcript, and coaching content.

    School leaders cannot access Teacher Coaching Content unless the teacher explicitly chooses to share it using the platform's share feature. Coaching content cannot be used for performance management, investigation, or disciplinary purposes unless the teacher has clearly opted in in writing. This protection is written into every school's Service Agreement — it is a contractual commitment, not just a platform setting.

    What school leaders do see is anonymised, aggregated data across the school via the Schoolwide Dashboard: engagement patterns, CPD progress by department, and school-wide objective tracking. No individual teacher's coaching content is visible in this view.

    How we keep data secure

    Data is encrypted in transit and at rest. Access is restricted to authorised personnel on a need-to-know basis. We conduct regular security assessments. We use named sub-processors under contract, each with audit rights and security obligations. In the event of a data breach, we will notify the School within 72 hours of discovery.

    For schools outside the UK, Aristotal applies GDPR-equivalent standards and uses recognised contractual safeguards for any overseas data transfers.

    How long we keep data

    During an active subscription, recordings and transcripts are retained so teachers can review their progress over time.

    After a subscription ends, data may be retained for up to 24 months to support platform improvement — for example, refining coaching quality and developing new features. This processing is carried out by Aristotal as an independent Controller. You have the right to object to this retention at any time by contacting support@aristotal.ai, and your data will be deleted.

    Data is never sold. Data is never used to train public AI models.

    Teachers can delete their own recordings and transcripts directly within the platform at any time before coaching begins, or by contacting support@aristotal.ai afterwards.

    How Aristotal differs from consumer AI tools

    When a school subscribes to Aristotal, data use, retention, and access are governed by a formal Service Agreement and Data Processing Agreement — not by consumer terms of service. This is fundamentally different from staff using ChatGPT, Gemini, or similar tools directly, where data protections vary and are not contractually fixed. Schools can request a copy of the full Service Agreement and DPA at support@aristotal.ai.

    Your rights

    Under the UK Data Protection Act 2018 you have the right to access the personal data we hold about you, request correction of inaccurate data, request erasure of your data, object to processing, and request restriction of processing. To exercise any of these rights, contact us at support@aristotal.ai. We will acknowledge your request within 72 hours and respond within 30 days.

    If you are not satisfied with how we handle your data, you have the right to complain to the Information Commissioner's Office: ico.org.uk · 0303 123 1113.

    Changes to this notice

    We will update this notice when our practices change. Material changes will be communicated to schools via email before they take effect. The date at the top of this page reflects the most recent update.
